Pro-Solutions of Alaska LLC provides administrative, bookkeeping, and other solutions for small businesses in Alaska. I have several clients that have an immediate need for in-office administrative assistants. These are jobs I am creating, so I have a lot of flexibility on what they look like.

 

ALL of these positions have potential for growth. From construction project management, basic bookkeeping skills, and even rental/property management.

Construction Office Association (Part-Time)

Part-Time | In-Office | 15–20 hours per week Focus: Payroll Support, Accounts Payable, & Data Entry. Pay Range: $23.50 to $37.00 Hourly DOE The Mission Are you highly organized, great with numbers, and looking to start a career in business operations? We are a busy construction office looking for an Office Associate to help manage our daily financial tasks. We will train the right person on the specifics of construction payroll and union reporting—you just need to bring the focus, the "can-do" attitude, and a love for details. What You Will Learn & Do •Payroll Processing: Learn how to collect field timecards, verify hours, and enter them into our payroll system so our crews get paid on time. •Accounts Payable Support: Assist with entering vendor bills and invoices into our system, ensuring every expense is assigned to the correct construction project. •Compliance Training: Work alongside our team to process Union fringes, Workers’ Comp payments, and Payroll taxes. You’ll learn the "ins and outs" of industry-specific regulations. •Documentation: Keep our financial world organized by scanning, filing, and tracking payment receipts and tax documents. What We Are Looking For (Entry Level) •The "Numbers" Person: You don’t need an accounting degree, but you should be very comfortable with basic math and data entry. •Detail Obsessed: You are the type of person who notices a typo from a mile away. You double-check your work before anyone else sees it. •Tech Foundations: You know your way around Microsoft 365 & and Excel (basic formatting and sums) and are comfortable learning new software like QuickBooks Enterprise. •Reliability: In a construction office, "Payroll Friday" is a big deal. Business Services Associate

Role Mission: As our Business Services Associate, you will be the "glue" that holds our clients' administrative and financial processes together. You’ll transition seamlessly between organizing digital infrastructure, handling sensitive compliance documents (COIs/W9s), and supporting entry-level bookkeeping for a diverse portfolio of small businesses. Key Responsibilities: •Digital & Physical Information Management: Maintain rigorous electronic filing systems across Dropbox, Google Drive, and OneDrive. This includes occasional local travel to collect, sort, and digitize client documents. •Compliance & Communication: Act as a bridge between clients, vendors, and insurance agents to ensure all W9s and Certificates of Insurance (COIs) are accurate and filed correctly. •Financial Support: Assist with entry-level bookkeeping by identifying, categorizing, and entering expenses into QuickBooks or Sage. •Corporate Management: Assist with typing corporate minutes and updating corporate binders with licensing and state filings. •Employee Onboarding: Lead the onboarding journey for our clients' new hires, guiding them through paperwork and ensuring their data is accurately entered into management systems. •Agile Task Management: Juggle multiple client priorities with the ability to pivot and meet deadlines in a fast-paced environment. What You Bring to the Team: •Tech Literacy: Solid comfort with Excel/Google Sheets (formulas, formatting, and reporting). •Digital Organization: An expert in file structure—you know how to name, scan, and verify documents so they are never lost. With the proper amount of OCD to recheck your own work. •Professionalism: You can communicate clearly and politely with insurance agents and business owners alike. •Software Bonus: Experience with QuickBooks or Sage is a major plus, but a willingness to learn is required.
